Privacy Notice
Vinita Joseph (trading as Vinita Joseph: Coaching Solutions) holds and processes clients’ personal data, including name, contact details, goals and notes to enable Vinita Joseph to provide each client with ongoing support. Such data may be acquired through emails, telephone conversations, face to face and via Skype and other forms of internet communication.
With your consent, Vinita Joseph will retain your email address and may occasionally send you information in the form of articles, advice or newsletters. You may withdraw this consent at any time – just let her know by any convenient method.
Vinita Joseph complies with the data protection processes and requirements of the General Data Protection Regulation (GDPR).
The data may occasionally be shared anonymously within coaching or supervision for professional development and quality assurance purposes. The data may be shared, if required, by law and for duty of care reasons, to endeavour to keep the individual and/or the public safe.
By providing a testimonial you give your consent that Vinita Joseph may share any testimonials so given in promotional material on her website and for marketing purposes but will request your specific consent before your name is mentioned. Such consent may be withdrawn by you in writing upon receipt of which your testimonial will be removed from the website within 28 days and not repeated in future promotional material.
The data may be kept by Vinita Joseph for as long as required after the end of a programme of work, to allow for an ongoing support relationship with the client. Any personal details kept electronically e.g. on a computer, will be kept within a password-secured area. Hard copies are kept in a locked filing cabinet. When any personal data is disposed of, it will be erased in a secure way e.g. secure shredding of any paper-based data, or deletion within a password-protected environment on a computer.
The client has the right to withdraw their consent for their personal data to be kept at any point, by contacting Vinita Joseph. If the personal data is required in order to complete the work with the client, the contract will end, and any outstanding service will terminate. In this case, Vinita Joseph will not be under an obligation to refund fees for any outstanding work.
The client may request access to their personal data held by Vinita Joseph at any point. Vinita takes handwritten notes during coaching sessions as part of the process; such notes may not be legible, even to Vinita herself on hindsight. On receipt of such a request, Vinita Joseph will provide a copy (which may be provided electronically) within 28 days. The copy will be sent free of charge to an email address unless the request is excessive or repetitive.
The client may request for their data to be amended at any time, if it is inaccurate, incomplete or has changed.
The client may request that their data is moved, copied or transferred to another business.
If a copy of the personal data is required to comply with a legal obligation or in the public interest, Vinita Joseph reserves the right to keep the data, overriding the client’s request.
The client has the right to lodge a complaint about the processing of their personal data. In the first instance, this complaint should be made to Vinita Joseph. If the client is not satisfied with the response to their complaint, a further complaint may be made to the Association for Coaching at http://www.associationforcoaching.com/pages/membership/supporting-information/ac-complaints-procedure
